Functional Overview
The integration between Edflex and Workday Cloud Connect for Learning is a strategic enabler to support seamless learning experiences within enterprise ecosystems. This integration ensures that clients leveraging Workday can provide direct and personalized access to the Edflex content library within their existing learning infrastructure.
Learners can:
- Browse and find Edflex resources on Workday catalog using filters (title, publisher, author, typeâŚ)
- View content details before accessing the content itself (title, description, estimated effort, author, cover-artâŚ)
- Access Edflex contents using SSO
- When learners complete an Edflex content, their training data in Workday will be updated to completed.
Note that: Learners cannot find or enroll in disabled content. Once a resource is not available in the Edflex catalog anymore, they will be only visible in reports for the users who completed it.
Learning Specialist will be able to:
- Search for Edflex content using applicable metadata such as title, learning item number, publisher, author, learning type.
- View Edflex content metadata populated.
- See content updates synchronized from Edflex to Workday.
- See retired content as Inactive in Workday.
- Access to learning statistics
Prerequisites

- A Workday Learning license and Cloud Connect for Learning (CCLRN) add-on

Set Up Integration System User Security for Cloud Connect for Learning

- Security roles and permissions are added for the ISU user into the pre-existing ISSG_Cloud_Connect_For_Learning Security Group, or create a new user-based security group called Learning Administrator with the following permissions:

Workday tenant URL and API credentials (Client ID and Client Secret)
- API credentials must be unique for each Workday tenant.
- SSO setup with Edflex â required for learner activity tracking
On Edflex:
- Have an activated Edflex portal
- Have a published catalog and âsynchronize with LMSâ setting enabled
- Enable xAPI setting on Edflex
Edflex will only push content for which the customer has a license. Customers must have a company license with Edflex.
How does the connector work?
The integration securely connects Edflex and Workday using OAuth 2.0 authentication.
It ensures a two-way synchronization between content and user activities.
Edflex â Workday: Synchronizes available content, metadata updates, and retirements.
Workday â Edflex: Tracks learnersâ progress and completions via xAPI events.

Edflex Contents Synchronization
Objective
Edflex automatically pushes catalog content to Workday through its API. The synchronization occurs once a day, in the morning.
Edflex will push content to Workday with all metadata such as:
- Content URL access,
- Title,
- Description,
- Language,
- Content branding image,
- Duration,
- Source (publisher and author),
- Content Type.
Learners will click on the URL and consume the contents.

Prerequisites
- A catalog of contents must be created on the Edflex portal
User Activities Synchronization
Objective
Track learner engagement and log completion activities into the Workday system. Only completion and in-progress activities are sent to Workday.

Setup & Activation
What to do?
Confirm all prerequisites on both Workday and Edflex sides are met.
Provide your Workday API credentials and tenant information to Edflex.
Enable the Workday connector from your Edflex admin interface.
(Recommended) Set up SSO between Edflex and your Identity Provider for automatic learner tracking (Workday SSO setup is not available).
Validate the synchronization by checking that Edflex content appears in your Workday catalog.
Monitoring & Maintenance
For all integration, we have a set of tools and alerts, such as:
- Daily cron jobs to synchronize and update contents and user activities
- Error logs pushed to our monitoring tools
- Alerts, when necessary, on our daily tools
If there is any issue, your Edflex CSM will send you an email to inform you about the issue and the solution in progress.
