What does the Edflex Application for Microsoft Teams offer?
Edflex offers an integration with Microsoft Teams. This integration lets you quickly access your organization's Edflex portal within Microsoft Teams.
The Edflex application for Microsoft Teams offers the following features :
- Browse Edflex Resources from Microsoft Teams
- Browse Edflex Selections from Microsoft Teams
- Browse Edflex Programs from Microsoft Teams (if the Programs option is enabled on your organization portal)
- Share Edflex Resources in Microsoft Teams with your coworkers through team channels or direct messages.
The Edflex application for Microsoft Teams does not allow you to :
- Contact the Edflex Support through the chat (Due to Microsoft Teams App Policies)
- Search for Edflex Resources through the search bar
The main menu contains 4 links:
- Featured content: this page displays the current selections (or the login page if you're not already logged in).
- Catalog: this page displays the different categories and sub-categories and the resources they respectively contain.
- Programs: this page lists the available Programs or a message if the Programs option is not enabled on your portal.
- About: as for any Microsoft Teams Application, this tab gives you information about the app, its editor and features.
The app is available in 9 languages : English, French, Italian, Spanish, German, Portuguese, Russian, Chinese & Japanese.
Prerequisites
You will need :
1. A user access to Microsoft Teams and be logged in
To get a user access to Microsoft Teams, contact your IT manager. He should be able to give you access the same way as any other online Microsoft applications. You can log in by using your email address as your username and your usual password on other Microsoft solutions.
2. A user access to Edflex and be logged in
To obtain access to Edflex, contact your training manager. Depending on whether your Edflex portal is integrated in SSO with your IDP or not, you will not have to connect to Edflex because it will be automatic, or you will probably have to connect with different credentials.
If your Edflex portal is SSO-enabled, you will not need to enter your Edflex credentials when accessing the application; the connection will be automatic.
If your Edflex portal is not SSO-enabled, you will need to enter your Edflex credentials when logging into the application.
Setup & Activation
For a Microsoft Teams user
⚠️ The installation of the Edflex for Microsoft Teams application may be blocked by the IT security policies your organization has in place. Get in touch with your organization's Microsoft Teams administrator if you are in this situation.
Once you have met all the prerequisites - and if your organization's security policies allows it - you can install the Edflex for Microsoft Teams application by following these steps:
- Sign in to Microsoft Teams (via your web browser or through the native application installed on your computer)
- Click on the "Application" icon at the bottom of the left sidebar, or on "..."
- Enter Edflex in the search field
- Click on the result and then on the "Add" button
And voilà! It's done. 🚀
Don't forget to pin the app, to do so, once added, right-click on the application icon and select "pin".
Now, open Microsoft Teams and access the app by clicking on the Edflex icon in the left sidebar.
You'll need to sign in to Edflex if you're not already logged in.
⚠️ It is not possible today to install an app for Microsoft Teams from the Microsoft Teams Android and Microsoft Teams iOS app.
However, once installed via computer or web browser access, you will be able to access the Edflex app on your mobile, from Microsoft Teams Android or Microsoft Teams iOS.
Uninstall the application
To uninstall it, nothing could be simpler, right-click on the icon in the sidebar. Click “uninstall”, then confirm.
You will no longer have access to it as a user, but all of your colleagues will continue to have access to it.
For a Microsoft Teams Administrator
To make this app available to all the users in your organization, follow these easy steps:
1- [Prerequisite] Identify the Microsoft Tenant Id(s) in your organization and share the id(s) with your Edflex contact
2- Access the Microsoft Teams administration console, and check your application authorization policy.
If your authorization policy is "Allow specific apps and block all others," you need to add the app from the "Add apps you want to allow."
3- Go to the Application Configuration Policies section, pre-install and pin the Edflex application for Microsoft Teams.
4- [Optional] If you want to limit access to the Edflex application for Microsoft Teams to one or more user groups, configure this limitation from the App setup policies section.
Create a policy in the Setup policies section
Then, assign the policy to the users
5- Depending on your default configuration, you may need to set authentication to accept embedding in an iframe. Without this, Edflex content cannot be displayed in the Teams app.
Now the app is easy to be found and to be setup by all the users of your organization.
The app is now listed among the apps "Developed for your organization". By clicking on the card, a modal window opens and allows you to add the app for yourself.
Why should I send the Tenant ID to Edflex and how can I get It ?
On the Edflex side, a manual action is necessary in order to allow all users of a Microsoft Tenant to be able to use the Edflex application for Microsoft Teams.
To do this, simply provide your customer success manager with your Microsoft Tenant Id.
To know your Microsoft Tenant Id(s): go to the Microsoft administration panel and identify in the Active Directory the Client ID field.
Example on Azure Active Directory version :
⚠️ If you have multiple Microsoft Tenant's on which your users are distributed, you must provide Edflex with a complete list of these Tenant's. This may be the case if your organization has multiple subsidiaries.
To delete the app, you will need to access (from your browser) to : https://admin.teams.microsoft.com/policies/manage-apps, search for "Edflex", click on the app name, then on "Actions" > "Delete" and finally, confirm.
The app is now removed from allowed apps for your organization. Users can no longer search or install it. It is deleted for all users who had it installed.
Customize the extension
As a MsTeams administrator, you are able to customize our application to align it with your company's communication.
By clicking on the “Customize” link (1) available on our application detail page, you can redefine the following properties:
- name: The app's display name.
- shortDescription: The app's short description.
- longDescription: The app's long description.
- smallImageUrl: The app's outline icon.
- largeImageUrl: The app's color icon.
- developerUrl: The HTTPS URL of the developer's website.
- privacyUrl: The HTTPS URL of the developer's privacy policy.
- termsOfUseUrl: The HTTPS URL of the developer's terms of use.
Troubleshooting
If you encounter a problem while trying to set up this integration, you can contact your Edflex customer success manager. If you don't know it, ask your training manager. He will certainly be able to tell you how to reach him. If this person is not available, contact Edflex via the contact form accessible from the link at the bottom of the page.
